School fee management software: vouchers, family payments and defaulters

School fee software should generate the month’s fees for every class at once, print vouchers with siblings together, take one payment for a family at the counter, carry arrears and advances forward, and show who still owes what. Skoolyte does this, and keeps collecting fees when the internet is down.

Generating fees and vouchers

  • A fee structure per class, with monthly, one-time and annual fees
  • Monthly fees generated for the whole school at once
  • Annual packages paid in instalments, as an alternative to monthly fees
  • Vouchers for a class or the whole school as one PDF, with brothers and sisters on one voucher

At the counter

  • Find a student by name, admission number, father’s name, or by scanning their ID card
  • One payment for the whole family
  • A printed receipt, or the receipt sent to the parent on WhatsApp
  • Extra payment kept as advance and used for next month’s fee
  • A cash drawer for each cashier: opening cash, collections and the count at handover

Discounts, arrears and defaulters

  • Sibling, staff-child and custom discounts, and waivers with a reason
  • A defaulter list with arrears, and fee reminders to parents
  • Collection reports by day, class and campus
  • Changing a student’s class updates their unpaid fees

Moving from registers or Excel

Import students and your existing fee register from Excel, including old arrears. The import shows any rows it can’t read before anything is saved, so you can fix them first.

Common questions

Can we collect fees for brothers and sisters together?
Yes. Brothers and sisters appear on one voucher, and the counter can take one payment for the whole family.
Who can waive a fee or cancel a receipt?
Only the roles you allow. Money actions like waiving a fee or cancelling a receipt are limited to the roles you choose.
Does fee collection work offline?
Yes. Fees can be collected without internet and are sent to the server when the connection comes back.
