What roles are there, and what can each do?

  • Admin (school admin): everything in the school, including settings and users.
  • Accountant: fees, families, accounting, payroll and finance reports.
  • Cleric (office staff): student records, admissions, fee collection and data entry.
  • Teacher: their classes, attendance, marks, diary, timetable and leave.
  • Parent: their own children only.

One person can hold more than one role.

How do I give someone a login?

For staff, add them as an employee first (People → Employees) and press Create Account on their profile, so their details are recorded properly. To change a user's roles, campus access or status, use Settings → User Management.

Someone forgot their password. What do I do?

They can press Forgot password on the login page to get a reset link by email. An admin can also use Reset Password in Settings → User Management (or on the employee's profile). They then choose a new password at their next login.

How do I change my own password or email?

Open My Profile (left menu). Change your phone and name, your Sign-in Email (a confirmation link is sent to the new address, so a typo can't lock you out) and your Password (at least 8 characters).

How do I turn on two-factor authentication (2FA)?

My Profile → Open security (or Settings → Security). Choose how to receive the 6-digit code:

  • Authenticator app: scan the QR code with Google Authenticator or similar.
  • Email: a code is emailed to you at each sign-in. It expires in 10 minutes.

Enter the code to confirm. From then on you'll be asked for a code every time you sign in. To switch methods, disable 2FA and set it up again.

How do I sign someone out of a lost phone or shared computer?

  • Your own devices: Security → Active Sessions shows each device you're signed in on, and lets you sign them out.
  • An admin for another user: in Settings → User Management, use View devices and force sign out on that user.

Can Skoolyte support see our data?

Only Skoolyte team members who have been given access to your school can open it, usually to help with a problem you reported. While they are inside your school a banner shows it, and every visit and change is recorded in the Audit Logs. If you would rather they didn't have access, tell support in the chat.
